Primary Responsibility / Summary

Champion the participant experience as the frontline point of contact, ensuring a welcoming, informative, and supportive intake process; provide vital administrative support, assist with engaging workshops, manage crucial data, and coordinate operations to maximize program effectiveness and participant success.

Essential Duties & Responsibilities

Participant Support:

  • Engage participants by expertly answering inquiries, providing precise information, and seamlessly directing or referring callers, thereby cultivating trusting and supportive relationships.
  • Guide participants through center by delivering engaging orientations and comprehensive information sessions, highlighting available resources, including reasonable accommodations.
  • Evaluate participant potential through thorough initial assessments, identifying abilities, interests, needs, and barriers to ensure program eligibility and facilitate accurate enrollment.
  • Secure program compliance by meticulously collecting and verifying client documentation, rigorously reviewing enrollment packets for completeness, and ensuring timely participant enrollment with 100% data accuracy.
  • Assist program team to deliver core employability skills training and practical job readiness workshops, fostering participant preparedness.

Administrative Support:

  • Streamline case administration by helping to organize, maintain and  submit accurate (electronic and paper) files, billing documents, generating professional correspondence, precisely reconciling time records, and ensure a seamless transition through warm handoffs to Specialists.
  • Empower job seekers by proactively maintaining and updating job lead postings and comprehensive community resource referral information.
  • Orchestrate program efficiency by coordinating and maintaining comprehensive calendaring, scheduling, and timekeeping for both program staff and participants.
  • Enhance effective collaboration by supporting meetings through proactive agenda preparation, creation of supporting materials, and diligent tracking of signature routing.
  • Optimize operational effectiveness by proactively ordering office supplies, meticulously managing supply inventory, and guaranteeing the availability and proper function of essential resource equipment (e.g., computers, phones).
  • Protect sensitive and proprietary information by upholding strict confidentiality protocols.

Safety & Security:

  • Contribute to maintaining a safe working environment by reporting hazardous conditions or safety incidents and ensuring compliance with center policies and code of conduct.
  • Maintain the confidentiality of sensitive and proprietary information.

Additional Duties & Responsibilities:

  • Perform other duties and special projects as assigned.

Travel Requirements:

  • This position requires travel (up to 25%) within Southern California; a valid CA driver's license and state-required auto insurance are necessary. Driving records must be acceptable by the company’s insurance vendor.

Education & Experience

  • High school diploma or general education degree (GED) required.
  • Up to 1 year of experience required.
