Human Resources Coordinator

The Coordinator supports key compliance, communication, and reporting functions related to Leaves of Absence, Workplace Accommodations, Workers’ Compensation, Regulatory Reviews, and General Liability claims. This role manages daily deliverables, monitors and supports team task completion, and serves as the primary contact for incoming requests, legal record handling, department administrative functions and meeting/training preparation.  This position is in-person at Goodwill SoCal's Los Angeles main campus. 

Essential Duties & Responsibilities 

  • Monitor phone calls and text messages for new or updated requests, status changes, and return-to-work verifications. Record all information accurately in the appropriate trackers, respond to assigned case types, and ensure all tasks are completed promptly and correctly throughout the workday.
  • Manage Personal Leaves, COVID-positive cases, and Program Interrupt leaves, including initiating off-work time in the HRIS, confirming returns to work for all leave types, coordinating accommodation meetings, and handling related communications and system updates.
  • Complete Short-Term Disability responses, coordinating with EDD and vendors for employer submissions. Maintain COBRA eligibility dates and process updates in the system as required.
  • Assist the Specialist with Workers’ Compensation claim filings, initial investigations, and reporting.
  • Maintain records of huddle and drill participation, as well as monthly safety checklists completed by each worksite. Follow up with worksite teams to address and resolve any action items.
  • Audit Hazmat records, invoices, and submit documents for payment processing.
  • Maintain the Litigation tracker and calendar, ensuring strict confidentiality and accuracy as frequent updates occur. Confirm attendance of Employer Representatives for depositions, mediations, and trials.
  • Support the Legal Assistant with record requests and subpoenas in accordance with company policies. Maintain accurate and complete electronic filing systems.
  • Manage incoming and outgoing department mail, ensuring confidential and sensitive materials are handled with the utmost discretion and accuracy. Scan and distribute correspondence appropriately, forwarding key items to designated coworkers.
  • Support Specialists, Managers, and the Senior Director with projects or research as needed.
  • Support wellness activities with planning/preparation and event participation.
  • Required to travel up to 25% of the time. A valid CA driver’s license and state-required auto insurance is necessary. Driving records must be acceptable by company’s insurance vendor.

Education & Experience

  • Minimum of 2 years of administrative experience required. Experience in Human Resources, Data Analytics, Auditing, Safety, or Risk Management preferred. 
  • Associate degree or equivalent from a two-year college or technical school preferred.
  • Strong critical thinking skills required.
  • Excellent organizational, analytical, and problem-solving abilities with a high attention to detail.
  • Proven ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Ability to work effectively with all levels of staff and the general public while maintaining professionalism and courtesy.
  • Advanced PC proficiency and familiarity with social media platforms.
  • Nonprofit experience preferred.
  • Bilingual (Spanish/English) preferred.
  • Must have intermediate knowledge of computer programs in a Windows environment, including Word, Excel and E-mail.
  • Background, drug screening, employment verification and MVR required.
